User role(s) to create campaigns without seeing email profiles?

Forum|alt.badge.img

Hi everyone. Is there a user role within Klaviyo that allows that person to create/manage campaigns, but is not able to see any profile emails?

I’m looking to potentially deploy Klaviyo for a client, and they have a huge email database that is sensitive.

Obviously the account would be set up by an Admin, and email lists would be uploaded by the Admin. But afterwards, they’d like for someone to be able to create the campaigns, choose the specific lists/segments, and schedule them up without being able to see any emails within the lists.

Is that possible?

Thank you in advance for your help!

Hi @dphan8 - thank you for reaching out to the Klaviyo community with your question!

Based on the scenario you are describing where you want someone to be able to setup campaigns and schedule them without having access to individual profiles, I would recommend the “Campaign Coordinator” access level. This user permission level allows access to lists & segments but NOT profiles which should hopefully solve the issue you are describing around privacy.

Campaign Coordinator

Campaign Coordinators can create and send campaigns and create and edit templates. The tabs they have access to are:

  • Campaigns tab
  • Flows tab
    • Can only edit flow details (name and tag), edit email content, and preview flow emails
  • Audience tab
    • Lists & segments
  • Content tab
    • Templates
    • Data feeds
    • Coupons
  • Settings tab
    • Consent pages
    • Email domain page

This is a helpful chart that breaks down permisson levels by user type.

This help article also explains the various user levels and permissons in more detail.

Please let me know if this helps with your question, and if there is anything else I can clarify!

Hello @dphan8    Klaviyo does not currently offer a user role that allows campaign creation and management without access to email addresses in lists or segments. The available roles are:

  • Admin – Full access, including billing and all customer data.
  • Manager – Can manage campaigns, flows, lists, and segments but can also see profile emails.
  • Campaign Coordinator – Can create and send campaigns but still has visibility into profile details.
  • Analyst – Primarily for reporting and analytics, but not campaign management.

Unfortunately, there is no built-in role that completely restricts email visibility while still allowing campaign management. A possible workaround is using third-party integrations or custom API setups to limit access outside of Klaviyo's standard roles.

Would you like recommendations on how to set up permissions securely for your client?

@emilytarvin thank you for the response. Very helpful!

@MANSIR2094 would you be able to provide some additional clarity on how the Campaign Coordinator would be able to have visibility into profile details? The response from @emilytarvin shows that the role does not have access to profiles. Thank you!

@dphan8 , The Campaign Coordinator role in Klaviyo allows users to create and send campaigns, but they still have access to profile details in lists and segments. This means they can view subscriber emails and other profile attributes when selecting lists, reviewing segmentation criteria, or navigating the profiles section.

Unfortunately, Klaviyo does not have a built-in role that enables campaign management while fully restricting email visibility. If data sensitivity is a concern, a possible workaround is using API-based solutions or external workflows to limit access outside of Klaviyo's UI.

Let me know if you would like recommendations on how to set this up securely!
