We’re currently running a digital program, and we’d like to automate our communication flow through Klaviyo based on user behaviour across two platforms: Fillout (for initial forms) and WordPress (for the core assessment).

 

The goal is to integrate Fillout and WordPress with Klaviyo in a way that allows us to:

  1. Track participants across multiple steps

  2. Identify drop-off points (i.e., where they stop progressing through the journey)

  3. Send targeted automated reminders via Klaviyo based on their last completed step

We currently use a manual Excel tracker to log where participants drop off, but we want to automate this process as much as possible to reduce manual work and increase re-engagement.

Current Participant Journey Flow:

  1. Signup via Fillout Form

  2. Confirmation Email sent (via Klaviyo)

  3. Pre-Survey sent (via Fillout)

  4. Pre-Survey Completed

  5. Login access sent manually by admin

  6. Assessment begins on WordPress (custom form)

  7. Mid-Survey completed (milestone question)

  8. Assessment completed

  9. Post-survey completed (via Fillout or WordPress). Is thi possible

I completely understanding wanting to move away from manually putting things into spreadsheet, I have spent so much time doing that myself and automating is definitely the way to go. Fillout and Wordpress both have Klaviyo integrations, so I would definitely install both of these integrations. Once those integrations exist, you will be able to create flows that have conditional splits based on when people have performed a specific action. I would make sure that all messaging is set up to go through Klaviyo with links out to Fillout and Wordpress. 

 

I believe I would make 2 separate flows, one that starts when they complete step 1 and ends when they complete the pre-survey. The second flow would begin after their login access is manually sent by admin so when they do the wordpress form and ends with a post-survey. Once everything is installed you will be able to look at where people exit the flow or get stuck in between different flow steps.

Here’s how it can work:

1. Connect Fillout to Klaviyo

  • Use a tool like Zapier or Make to send form data from Fillout to Klaviyo.

  • Each step (like completing the pre-survey) becomes a custom event in Klaviyo.

2. Track Progress on WordPress

  • Add Klaviyo’s tracking code to your WordPress pages.

  • When users complete steps (e.g., start assessment, finish mid-survey), trigger events using simple code snippets.

3. Automate Emails in Klaviyo

  • Set up flows that send reminders based on the last completed step.

  • Example: If someone finishes the pre-survey but doesn’t start the assessment, they get a reminder after 2 days.

4. Track Drop-Offs Automatically

  • Create segments in Klaviyo (e.g., “Completed Pre-Survey, Not Started Assessment”).

  • No more Excel — Klaviyo will show you where users drop off.

  • Some light setup in WordPress (tracking code)
